Setting up your Inboxes!
How many to buy?
Once we know how many emails we need to send we can easily deduce the number of inboxes we would need.
But before we do the math here are some assumptions we would take to ensure good email deliverability :
~ <20 emails sent a day from any inbox
~ 3 inboxes are set up per domain
~ emails are sent out only on working days (~22 in total)
With this in mind let’s calculate how many inboxes we need,
Simply put, 8 domains and ~24 inboxes are ideal for sending out 10k emails a month.
Where to buy?
You might have seen a lot of email influencers talk about namecheap and cloudflare to purchase cheap domains.
But there is a big problem associated with buying this.
You see most of the major ESPs can track your rDNS which can easily let them know where you have purchased your domains from.
Now most of the people don’t purchase their domains from cloudflare or namecheap and those who do are people who are mostly going to use them for email marketing.
ESPs know this and they tend to classify emails from such domain providers as spam more often.
Ideal places to purchase domains would therefore be Hostinger, Godaddy or other trusted platforms.
FYI –
Please note that your primary domain should not be used for cold outreach. Domains used for cold outreach do experience fluctuations in their health leading to emails landing in spam.
A low health primary domain would mean all your internal and client emails would not land in the inbox which hurts brand image in some cases.
To avoid this we would be securing domains which are relevant to your primary domain and set up inboxes on them.
Finding the right domains
Here’s a simple way to identify secondary domains for your outreach.
For this we would need to go to a domain provider. Let’s take Godaddy for this exercise.
A simple search for Scale Campaigns on Godaddy has given us multiple domains other than the .com one which is our primary domain.
In some cases domains aren’t available for your brand name (Scale Campaigns in this example). To counter this you can look for alternatives that signify the same intent from first glance.
For example: Searching for Cold Campaigns (similar to Scale Campaigns) on Godaddy is giving us 5 domains we can use for our campaigns.
You can also increase the search by adding “get” and “try” as suffix or prefix to the domain names.

Which ESP to choose?
Once our domains are secured the next would be to create multiple inboxes on them.
But which email client or email service provider should we choose to create our emails?
There are tons of email providers out there such as Gmail, Outlook, Yahoo, AOL (blah…blah…blah)
Some companies such as Maildoso, Mailreef etc. also help email marketers with 100’s of inboxes at cheaper rates.
There’s only one problem behind them……we will have to stop once there is a trust flag put on the server.
But personally speaking only Google and Outlook servers are best performing when it comes to deliverability and are therefore the top choices for anyone entering cold email.
So lets deep dive into their setups 🙂
Private IP setup (Hostinger email) | Cheaper Option
For Hostinger it is a pretty simple process. Start out with logging into your hostinger account.
- Go to the Emails section on Top.
- Select the domain you want to create inboxes for and Click Manage.
In this section, you can create email accounts by clicking the “Create Email Account” option.
3. Simply enter the details you want in the window below and click create email.
You can create as many emails as you want using this method.
This way you can create emails with hostinger IP hosting which is a private network hence more vulnerable to spam.
Setting up inboxes on GSuite
- For setting up G Suite inboxes go to google workspace website.
2. Start Free Trial.
3. Enter your Business Details and click Next.
4. Enter contact details and click next.
5. Click Yes if you have a domain for your business. If no you can purchase one
6. Enter your domain name and click next.
7. Add login details to sign up for the workspace account.
8. Once done you can directly choose Try free for 14 days and sign in to your admin account.
9. In the admin account select add a domain.
10. Once the domain is added, click on activate gmail.
11. Select setup MX record option.
12. Click Sign in to activate.
13. Once the domain is connected you can check that gmail will be activated to the domain now.
Now we can add users to this domain.
Add all user details in the box and just Click Add New User.
And that’s it. This is how you can create multiple email accounts on G Suite.
Setting up inboxes on Microsoft365
- To set up microsoft365 Inboxes, go to microsoft365.com.
2. Click on admin.
3. In the admin panel, search for domains and click on add a domain.
4. Enter the domain you want to add and click next.
5. Verify your domain. Automatically done if you have purchased from Godaddy by logging in your account.
6. Now we need to connect your account. To do this you would need to click yes on adding DNS records to your domain.
Boom, your domain setup is completed.
7. In the users tab, select add a user.
8. Enter the details and click next.
This will now create a new user with its outlook account that you can use 🙂.
Setting up your email authentication
To set up email authentication protocols you will need go to your domain provider and click on DNS settings.
This is what it looks like in Hostinger.
G Suite Users
To set up Spf records,
Select add record in the manage DNS records section.
These are the values you need to select as per google’s policy
So it would look like this when adding them,
That’s how you can add or update spf records.
Adding Dmarc records
To add your DMARC records,
- Go to add records in manage DNS
- Add a text record with the input
Name: _dmarc
Sample Value: v=DMARC1; p=none; rua=mailto:dmarc-reports@solarmora.com
TTL value: 14400
Adding DKIM records
To set up DKIM,
- Go to G Suite admin console
- From menu, open Gmail from Apps section
- Click on Authenticate email
- Select domain you want to add DKIM to
- Click Generate new record
- Select your key settings and click generate
- Copy the DKIM records in the authenticate records pop-up
- Copied records are DNS Host name (TXT record name) & TXT record value
- Login to your domain provider i.e. hostinger
- Go to manager DNS records
- Click on add records with following inputs
Type: TXT
Name: DNS Host name (TXT record name) [Copied above]
Value: TXT record value [Copied above]
TTL value: 14400
Save the record.
- Now going back to admin console, go to authenticate email in step 3
- Repeat step 4
- Click the start authentication button.
Microsoft Outlook Users
To set up Spf records,
Select add record in the manage DNS records section.
These are the values you need to select as per google’s policy
This will simply set up the SPF records.
Adding Dmarc records
To add your DMARC records,
- Go to add records in manage DNS
- Add a text record with the input
Name: _dmarc
Sample Value: v=DMARC1; p=reject; pct=100; rua=mailto:rua@contoso.com; ruf=mailto:ruf@contoso.com
TTL value: 14400
Adding DKIM records
- Sign in to Microsoft 365 defender Portal.
- In DKIM, select the domain you want to add DKIM to.
- Select create DKIM keys and copy the records (hostname + value)
- Login to your domain provider
- Go to manage DNS section
- Add new record with following data
Type: TXT
Name: Hostname [Copied in step 3]
Value: Value [Copied in step 3]
TTL value: 14400
- Save the record.
- In the Microsoft 365 portal again go to DKIM and select the domain.
- Turn on sign messages for this domain with DKIM signatures.
- Click OK.
This will complete your inbox setup 🙂
